Marbella clinics and boat charters: answering English-speaking clients on WhatsApp in high season
TL;DR
Aesthetic clinics and boat charters on the Costa del Sol serve English, Scandinavian and German clients who write on WhatsApp at night and in summer, while the team answering is Spanish-speaking and busy. The first clear reply in the client's language, with a real price and a real slot, wins the booking. The fix is an instant reply that switches between Spanish and English, books from the live calendar, takes a deposit in the chat and reminds the client before the visit or the trip.
August on the Golden Mile, 23:15
A clinic in Marbella's Golden Mile closed at 20:00. At 23:15 a Norwegian woman staying in a villa in Nueva Andalucía writes in English: can she get a skin booster before a dinner on Saturday, and what does it cost? At 23:40 a German family in Estepona ask about laser hair removal for their teenage daughter. At 00:20 a British couple in Sotogrande want to know whether you can do a couples' treatment on Friday.
Two kilometres away in Puerto Banús, a boat charter company is asleep. At 22:30 a group from Dublin sent the same message to four companies on the marina: “Boat for 10 people Sunday, half day, price?” One company answered at 22:33 with photos, a price for four hours and a link to pay the deposit. The others answered on Sunday morning, which was too late for Sunday.
The Costa del Sol runs on this pattern. The clients are English-speaking expats, Scandinavians, Germans and Dutch who own or rent along the coast, plus summer tourists who plan tomorrow at midnight. The teams answering are Spanish-speaking, excellent at their jobs, and on WhatsApp between a client and the next one. In July and August, the volume triples and the gap becomes a hole.
What the numbers say
WhatsApp is the channel. DataReportal's Digital 2025 report for Spain finds WhatsApp is the most-used social or messaging platform in the country, used by a large majority of internet users aged 16 to 64. Your Scandinavian and German clients use it too: DataReportal's Digital 2025 report for Germany finds the same, and the Nordic villa owner who found you on Instagram will tap the WhatsApp button, not the phone number.
People expect a conversation. Meta's Business Messaging Usage Research with Kantar (March 2024) found that 74% of online adults want to communicate with businesses the same way they communicate with friends and family. Meta's 2020 figures put the number of people messaging a WhatsApp Business account at more than 175 million every day.
And the first reply wins. Harvard Business Review's 2011 audit of 2,241 companies found the average first response to an online lead was 42 hours; only 37% responded within an hour and 23% never responded. Firms that contacted a lead within an hour were nearly 7 times as likely to qualify it as those that waited even an hour more, and more than 60 times as likely as those that waited 24 hours or longer. Dr James Oldroyd's 2007 Lead Response Management Study found the odds of qualifying a lead drop 21 times when first contact happens after 30 minutes rather than within 5. For a tourist with four charter threads open, that is the whole story.
For clinics, the other leak is attendance. Hasvold and Wootton's 2011 systematic review found that telephone and SMS reminders reduced non-attendance by about a third across the studies reviewed. Holiday clients, in particular, forget.
What it is costing in Puerto Banús
Two illustrative businesses, two illustrative price points: an aesthetic session at 400 euros and a half-day charter at 3,000 euros. Replace them with yours.
| Summer month | Aesthetic clinic | Boat charter |
|---|---|---|
| WhatsApp enquiries | 60 | 100 |
| Arriving after 21:00 or in English while the desk is busy | 20 | 40 |
| Lost to a faster competitor or gone quiet | 7 (about 1 in 3) | 10 (about 1 in 4) |
| Would realistically have booked | 3 x 400 EUR = 1,200 EUR | 3 x 3,000 EUR = 9,000 EUR |
| No-shows or unpaid cancellations | 10 of 100 appointments | 2 of 30 charters |
| Recovered with reminders or deposits | 3 x 400 EUR = 1,200 EUR | 1 x 3,000 EUR = 3,000 EUR |
| Left on the table per month | About 2,400 EUR | About 12,000 EUR |
For the charter company that is most of a season's profit on one boat, lost between 22:30 and 09:00. For the clinic it is a full-time practitioner's day every month, spent on nothing.

Start the 7-day trialWhy it keeps happening
- The season and the clock. Summer clients plan at midnight and message at midnight. The desk opens at 10:00. In July and August, the number of threads waiting each morning doubles.
- Language mismatch. The team writes in Spanish, the client writes in English, and the Norwegian, German and Dutch clients write in English too. A reply drafted with a translator at 10:00 is slower and colder than the competitor's.
- Staff on the water or in treatment. The skipper is on a charter; the aesthetician is with a client. The phone waits in a drawer.
- No deposit. A Sunday charter “confirmed” by a voice note is not confirmed. A Saturday skin booster booked with a thumbs-up has no cost to skip.
- No follow-up. The 30 people who asked for prices last week and went quiet are never offered the slot that freed up on Friday.
The same Monday, before and after
Before. 10:00, Golden Mile. The clinic manager opens WhatsApp to 18 unread threads from the weekend, 14 of them in English. She answers the Spanish ones first, then works through the English ones with a translator between clients. The Norwegian woman says she booked elsewhere on Saturday. The German family have not replied. At 12:00 the charter company down the road discovers that the Dublin group who “confirmed” Sunday never came, never paid, and the boat sat in the marina with a crew on the clock.
After. 10:00, Golden Mile. The manager opens the dashboard. Over the weekend, six appointments were booked from the calendar, four of them from English conversations answered in English within seconds, each confirmed with the price, the address and a map link. Three deposits were paid. One thread is flagged: a client asked whether a treatment is safe after recent sun exposure, and the question is summarised for the doctor. In Puerto Banús, the charter company opens its dashboard to three paid charters for the week, one Sunday slot that was released when the deposit was not paid and rebooked from the waitlist, and a flagged request for a stag party of 18 that needs a human decision. Both owners have their morning back.
| Before | After | |
|---|---|---|
| English enquiry at 23:15 | Answered at 10:30 with a translator | Answered in English in seconds |
| Sunday charter | Held on a voice note, no-show | Deposit paid or slot released and refilled |
| Monday inbox | 18 unread, 2 lost | 6 bookings, 3 deposits, 1 flagged |
| Summer weekend | Owner on the phone all evening | Owner reviewing flagged threads over breakfast |
| Reminders | None | Day before and an hour before, in the client's language |
What good looks like
- Replies within seconds, all summer, including Saturday nights and the August bank holiday.
- Answers in English and Spanish natively and switches mid-conversation when the client does.
- Knows the real catalog: treatments or boats, prices and ranges with the reason they vary, durations, photos.
- Books real free slots from the calendar the business already uses.
- Takes a deposit in the chat and releases the slot if it is not paid.
- Reminds the client before the visit or the trip, with the address and a map link.
- Hands clinical questions and unusual requests to a human, flagged and summarised.
Why Arlay
Arlay is an AI booking agent that answers your business's existing WhatsApp number and books appointments or charters by itself. It works the same way for a clinic on the Golden Mile and a charter company in Puerto Banús, because the problem is the same.
When the Norwegian woman writes in English at 23:15, Arlay replies in English within seconds with the skin booster price and duration from your catalog, offers the free Friday and Saturday slots from your Google Calendar, and sends a deposit link. When a Spanish client writes next, the reply is in Spanish. When the Dublin group ask about Sunday, Arlay sends the boat's photos, the half-day price, and a payment link, and confirms with the meeting point and a map link when the deposit is paid. If it is not paid, the slot goes back to the calendar and is offered to the people who asked that week. Anything Arlay was not configured to answer, such as a treatment after sun exposure or a party of 18, is flagged in your inbox with the question summarised, and you take over and hand back. Every reply is checked against your configured prices before it goes out.

Start the 7-day trialFrequently asked questions
- Our clients write in Norwegian, Swedish or German. Does that work?
- Most Scandinavian and German clients on the coast write to businesses in English, which Arlay answers natively, alongside Spanish, Arabic and Russian. A message in a language Arlay does not yet speak is flagged for your team rather than answered badly, and more languages are being added.
- Can one system handle both our clinic and our boat?
- Yes. Arlay works from your catalog, whether that is treatments or boats, with prices, durations and photos for each. Each business connects its own WhatsApp number, Google Calendar and Stripe, and has its own tone of voice per language.
- How do deposits work for tourists who are only here for a week?
- Arlay holds the slot and sends a payment link or Stripe checkout inside the chat. The client pays by card, the booking is confirmed on payment with the address and a map link, and if the deposit is not paid within your window the slot is released and offered to the waitlist.
- What happens in winter when volume drops?
- The same. Arlay answers every enquiry within seconds regardless of volume, sends reminders, asks for feedback after the visit, and sends reactivation prompts when a treatment interval comes round, which is how a summer client becomes a repeat client in February.
