What is a WhatsApp booking system?

A WhatsApp booking system takes the conversation your customers already start on WhatsApp and finishes it with an appointment in your calendar. Instead of a website form or a phone call, the customer writes 'do you have anything Saturday for a facial?' and gets an answer, a choice of real times and a confirmation, all in the same chat.

It has three parts. A WhatsApp number connected to the WhatsApp Business Platform, so software can read and send messages. A calendar that holds your real availability. And something in between that reads the message and does the booking: a person, a scripted chatbot or an AI receptionist. That middle part is where most of the difference in results comes from.

Timing is the reason it matters. Square's data on its own appointment businesses shows 48% of appointments are booked outside business hours, after the business has closed. A booking system that only works when someone is at the desk misses half the moments people choose to book.

How a WhatsApp conversation becomes a booking

Here is the flow Arlay runs on a business's existing WhatsApp number. Other systems differ in the details, but a complete one covers every step.

  1. The customer writes, from your Instagram profile, a click-to-WhatsApp ad, Google or a saved number. The message can be anything: a price question, a screenshot, 'are you open tomorrow?'.
  2. The system replies in seconds, in the customer's language, and answers the actual question from your real catalog and prices. If a photo helps, it sends the photo of the treatment room, the boat or the result.
  3. It qualifies the request with the questions you set: which service, for how many people, first visit or returning, any preference for a practitioner.
  4. It checks your connected calendar and offers two or three real free times. A time that is already taken is never offered.
  5. If you require one, it sends a deposit link in the chat and holds the time until the deposit is paid.
  6. It books the appointment into the calendar and sends a confirmation with the service, time, price and address.
  7. It sends reminders 24 hours and 1 hour before, and if someone cancels, it offers the freed time to people on the waitlist.
  8. Anything clinical, sensitive or outside what it knows goes to a person on your team, with the conversation summarised.

Scripted chatbot, AI receptionist or manual replies

All three can take bookings on WhatsApp. They differ in what happens when the customer does not follow the script, which on WhatsApp is most of the time.

Manual replies are fine at low volume, when someone is always near the phone. A scripted chatbot suits a single, predictable request, such as booking a table or picking a delivery time. When customers ask about price, suitability, availability and parking in one long message, you need something that reads that message.

What you need to set one up

  • A WhatsApp Business Platform number. The free WhatsApp Business app is a manual inbox; automation needs the Platform, reached through Meta's Cloud API or a provider such as Twilio. Your customers keep writing to the same number.
  • A calendar that holds your real availability. Arlay reads and writes Google Calendar, so the booking system and your team see the same diary.
  • Your catalog: services, durations, prices, opening hours and policies. The replies are only as accurate as this list.
  • Approved message templates for anything sent outside the 24-hour customer service window. Meta says template messages are the only type of message that can be sent to a customer outside that window, so a reminder the day after booking needs one.
  • Opt-in. Meta requires that the customer agrees to receive messages from your business, and that the opt-in names your business.
  • A rule for handover: which questions always go to a person, and who picks them up.

What WhatsApp itself charges

Since 1 July 2025 Meta charges per delivered template message, with a rate that depends on the template category and the customer's country. Replies inside an open 24-hour customer service window are not template messages, and utility templates delivered inside an open window are free. Meta's fees are separate from whatever the booking software costs.

How deposits cut no-shows

A reminder fixes forgetting. A deposit fixes something else: the booking made casually, on the sofa, with no cost to walking away. When the customer has paid something to hold the time, the appointment stops being a maybe. If they do not pay, you know before the day and can release the time to someone else.

Be honest about the evidence. Reminders are well studied; deposits are not. A 2023 systematic review in BMC Health Services Research found 61 controlled studies on reducing missed healthcare appointments, and 56 of them tested reminders. Other approaches, including financial ones, were barely tested. So treat a deposit as a sensible business rule for long, expensive or first-time appointments, not as a proven percentage.

How to measure WhatsApp booking conversion

WhatsApp booking conversion is kept appointments that started as a new WhatsApp enquiry, divided by new WhatsApp enquiries, over the same period. Count people, not messages, and count appointments that were attended, not promised. Published benchmarks for this figure are not reliable, so compare yourself month to month.

  1. New enquiries: people writing for the first time in the period.
  2. Answered within five minutes: the share that got a real reply fast.
  3. Offered a price and a time: the share that got an answer they could act on.
  4. Booked: the share with an appointment in the calendar.
  5. Attended: the share who actually came.
