TL;DR
WhatsApp appointment reminders are messages sent before a booked appointment, usually 24 hours and 1 to 2 hours before, with the service, time and address and a way to confirm, reschedule or cancel. Outside the 24-hour customer service window they must use a Meta-approved template, and an appointment reminder fits the utility category as long as it stays free of promotion. The customer must have opted in to messages from your business. A Cochrane review found text reminders raised attendance from 67.8% to 78.6%.
What a WhatsApp appointment reminder system does
A reminder system sends each customer the right message at the right time without anyone typing it: a confirmation when the appointment is booked, a reminder the day before, and a short one shortly before. The good ones also listen for the answer. A customer who replies 'can we do Thursday instead?' should get Thursday, not silence.

Meta's rules for appointment reminders
Reminders are sent through the WhatsApp Business Platform, and three rules from Meta decide what you can send and when.
The 24-hour customer service window
When a customer messages you, a 24-hour customer service window opens. Inside it you can reply with any message. Once it closes, Meta states that template messages are the only type of message you can send. A reminder the day before an appointment booked a week ago falls outside the window, so it has to be a template.
Utility templates
Every template is categorised as marketing, utility or authentication, and WhatsApp checks the category you choose against the content. Utility templates follow up on something the customer did or asked for: they must be non-promotional and specific to the customer, such as an update about a service they booked. An appointment reminder fits. A template that mixes a reminder with an offer ('see you tomorrow, and 20% off your next visit') counts as marketing. Templates are reviewed before use, which can take up to 24 hours.
Opt-in
Before you message a customer, you need their opt-in. Meta requires that it clearly says the person is agreeing to receive messages, that it names your business, and that you tell people how to opt out and honour it. A tick box on the booking form or a line in the first chat both work.
What reminders cost on WhatsApp
Since 1 July 2025 Meta charges per delivered template message, by category and by the customer's country. Utility templates delivered inside an open customer service window are free. A reminder sent a day after the last message is usually outside the window and billed at your country's utility rate.
When to send appointment reminders
- Confirmation, the moment the appointment is booked. The customer is usually still in the chat, so this sits inside the service window.
- 24 hours before. Enough time to reschedule, and a cancellation the day before is a time you can still fill.
- 1 to 2 hours before. Short, with the address or a map link. This is the one that stops 'I forgot' and 'I could not find you'.
The research does not pin down a perfect time. Hasvold and Wootton's review found no difference in missed appointments between reminders sent the day before and the week before. The 24-hour and 1-hour pattern is practical rather than proven: one message that leaves room to reschedule, one that catches the forgetful.
Confirm, reschedule and cancel buttons
Utility templates can carry quick-reply buttons. Three are enough: Confirm, Reschedule, Cancel. A tap on Confirm tells you the time is safe. A tap on Reschedule or Cancel opens the customer service window, so the conversation that follows is free-form and the new time can be booked straight away. The worst outcome for a reminder is not a cancellation; it is silence followed by an empty chair.
What every appointment confirmation and reminder should include
- The customer's first name and your business name, so the message is recognised at a glance in a crowded chat list.
- The service and, where relevant, the person: 'check-up with Dr Patel', not 'your appointment'.
- The day and the time, written out: 'Tuesday 14 October at 10:30'. Avoid formats that read differently from one country to another.
- The price or the deposit already paid, so there is no surprise at the desk.
- The address, and a map link or a landmark in the last reminder.
- Anything to bring or do beforehand: arrive early, no make-up, bring the car's locking wheel nut key.
- A way to answer: buttons, or a plain 'reply here to change the time'.
Common reminder mistakes
- Sending from a different number than the one the customer booked with. They do not recognise it and ignore it, or report it.
- Adding a promotion to the reminder. It turns a utility template into a marketing one, billed at a different rate.
- Sending a reminder nobody can answer. A 'do not reply' message on WhatsApp throws away the one advantage the channel has.
- Reminding without a way to refill the time. A cancellation the day before is only useful if someone offers that time to the next customer.
- Messaging customers who never opted in. It breaks Meta's rules, and unexpected messages are what make people block a business.

Reminders are one of the best-studied ways to reduce missed appointments. The Cochrane review of mobile phone messaging reminders, eight randomised trials and 6,615 participants, found attendance of 67.8% without reminders and 78.6% with text reminders, close to the 80.3% achieved by phone-call reminders, at 55 to 65% lower cost per attendance than calls in the two studies that measured it. Hasvold and Wootton's review of 29 studies found reminders cut non-attendance by about a third on average.
These studies tested SMS and calls in healthcare, not WhatsApp specifically. The mechanism is the same: most missed appointments are forgotten ones, and a message on the phone the customer reads fixes forgetting. In countries where WhatsApp is the everyday messaging app, that phone is WhatsApp.
WhatsApp appointment reminders for automotive businesses
Garages, tyre fitters and detailers lose the same way clinics do: a bay booked for 08:00, a customer who forgot. Cox Automotive's 2025 Ownership Study of 2,502 service customers found 79% find text updates about upcoming or scheduled service helpful. A car service reminder should include the vehicle, the job, the drop-off time, the address and anything to bring, and let the customer move the booking with one tap.
